Managing User Status

System Administrators can deactivate users in their organization if needed. Deactivation is useful when an employee is leaving your organization and you want to remove access to the outgoing team member but preserve their prior information inside the platform. Before a user's deactivation is finalized, another currently subscribed user can optionally be assigned to take over that user's future communication.

Deactivating a User

System Administrators have the ability to deactivate users in a Subscribed of Pending status.

  1. From the System Admin Module, navigate to the Users screen, and click on the Deactivate icon under the Action column, as shown below.

  2. On the following window, you will be asked to select an alternate user for further communications after the selected User has been deactivated, if desired, as this is an optional step. Click on the Deactivate button, as shown below, to confirm the deactivation of the selected user.

  3. A confirmation message will appear with a warning note indicating that the user will be deactivated only from the current profile. Click the Yes button to proceed.

    Note: You will see a green success message on the previous Users screen, and the User status will now be changed to Deactivated.

Reactivating an Internal User

System Administrators can also reactivate a user who has been deactivated.

To reactivate a user, click on the Reactivate icon under the Action column as shown below. A confirmation message will appear. Click on the Yes button to proceed. A success banner will appear at the bottom of the screen, and the user will automatically be subscribed to the system.

Re-inviting a User

System Administrators can re-invite users who are not yet registered into the application. Users who have not subscribed to your company have a Pending status associated with them.

To re-invite a user, click on the Re-invite icon under the Action column, as shown below.

Note: The user will then receive an email invitation to register into the platform.

Viewing the Last Login Date

System Administrators can view the last login date and registration date of an internal user.

The Users screen displays the last login date of an internal user by default. System Administrators can add a new column to display the User Registration Date. They can also customize the Users screen to re-arrange, add, or remove columns as required.
